Call center dashboards that drive action, not just reporting

Layouts per role, KPI selection, free templates and the anti-patterns to avoid.

A good call center dashboard answers three questions in 30 seconds: what changed, who needs help, and what requires action today. Below: layouts, KPI selection, free Excel and Power BI templates, and examples per role.

Executive dashboard

The one-screen exec view — 5 metrics, updated daily.

Data freshness

Real-time vs same-day vs weekly — what actually matters.

What belongs on a dashboard

Three things and only three: what changed vs baseline, who is currently below threshold, and what needs a decision today. Everything else is a report — save it for the weekly.

Dashboard per role

Manager (30-second view): 5 KPIs with trend, red alerts, best recordings of the day. Refreshed daily.
Supervisor: real-time queues, per-agent live status, current-shift QA flags. Refreshed live.
Executive: weekly rollups of CSAT/FCR/QA score, cost per contact, headcount trend.

From metrics to actions

The most impactful pattern: a "requires action" section on the manager dashboard — specific agents, specific calls, with a clear next step. This is where content-based KPIs shine: an alert is only useful if it's tied to a call you can play.

Free templates

Excel and Power BI templates for exec, supervisor and agent dashboards. Structure works with any data source; drop in your ACD, survey and QA feeds.

Common mistakes

  • Too many metrics — anything over 7 on a single screen becomes wallpaper.
  • No baseline — a number without context isn't information.
  • Vanity over action — showing "we're doing great" instead of "here's what to fix."
